Create an account and set up your books

No password. Sign in with Apple or type an email and enter the 6-digit code it sends you. Then five quick questions.

  1. 1Create account → Continue with Apple, or Continue with email and enter the code.
  2. 2Confirm you are 18 or over. We never ask for a date of birth.
  3. 3Pick a profile: Musician & Artist, Consulting and Business, or Personal. You can change it later.
  4. 4Name, state and filing status — these drive the tax estimate.
  5. 51099 threshold and permissions, then Start tracking.
2 · Expenses42 s

Expenses

Every expense on one page, filtered by category. Tap one to open it; tap + to add one.

  1. 1Filter chips narrow the list to a category. All brings it back.
  2. 2Tap an entry to open its receipt: category, business or personal, budget, notes.
  3. 3Tap + for Scan Receipt, Batch Upload or Enter Manually.
  4. 4On the manual form, Choose Category lists your own categories first.

Income and the tax estimate

Income by source, W-2 kept apart from business, and what to put away each quarter.

  2. 2Tax allocation uses your state and filing status to estimate the quarterly set-aside.
  3. 3Tap an entry to switch it between Business income and W-2.

4 · Mileage40 s

Mileage

Drives are detected automatically when Auto tracking is on, with the deduction worked out at the IRS rate. Or add one by hand.

  2. 2Add a drive: miles, date, from, to, purpose, Business or Personal.
  3. 3Tap a drive to reclassify it. Only business drives count toward the deduction.
5 · Receipt Inbox40 s

Receipt Inbox

Forward an emailed receipt to your own CrehzTracker address and it arrives here, already read.

  1. 1More → Receipt Inbox. Your forwarding address is at the top — Copy it once.
  2. 2Each receipt shows vendor, amount, date and a suggested category.
  3. 3Tap the category to change it, then Add. It becomes an expense.
  4. 4Dismiss anything that is not yours. Duplicates are flagged.

Receipts & Invoices

Every receipt image you have scanned and every invoice you have raised, by year and month, searchable.

  2. 2Tap a receipt to see it full size. Export a month as a .zip or PDF for your accountant.
  3. 3The Invoices tab lists what you have raised from Billable Hours.

Billable Hours and invoices

Start a timer for a client, stop it, and raise a numbered invoice with your own services and rates.

  1. 1Type who it is for and press ▶. The timer runs until you Stop and save.
  2. 2Edit the session: service, hours and rate. The line total is worked out for you.
  3. 3Under Not Yet Billed, tap Invoice. It gets the next number (CT001, CT002 …).
  4. 4Choose how they pay, add your logo if you like, then Raise and export as PDF.

1099 Recipients

Everyone you have paid, measured against the reporting threshold all year — so January is not a surprise.

  1. 1More → 1099 Recipients. Anyone over the threshold is marked 1099 Required.
  2. 2Tap a name for the payment history behind the total.
  3. 3The threshold itself is yours to set in Settings → Money.

Home Office deduction

Three questions decide whether you qualify; your space decides how much.

  1. 1Used only for work, used regularly, your main place of business — all three on.
  2. 2Office sq ft and whole-home sq ft, plus months used this year.
  3. 3The estimate appears at the top, with the simplified and regular methods side by side.

Switching profiles

Musician & Artist, Consulting and Business, or Personal — with one shared set of books or separate ones per profile.

  1. 1Settings → Account lists the three profiles. Tap one to switch; the app asks first.
  2. 2Separate books per profile keeps each profile's entries apart. You choose what happens to what you already have.
  3. 3With separate books on, a badge at the top of every page names the profile. Tap it to switch without leaving the page.

Changing themes

Seven colour palettes, light or dark, and a text-size slider. Make it yours.

  3. 3Colour theme: Warm Sand, Blush, Lagoon, Violet, Periwinkle, Luxury Champagne, Arctic Blue and more. Tap one and the whole app follows.
12 · Say it40 s

Two taps to dictate

Double-tap the word Expenses or Income at the top of the page and just say it.

  1. 1Double-tap the page title. The first time, iOS asks for Speech Recognition and the Microphone — Allow both.
  2. 2Speak: “Chipotle, fourteen fifty, lunch with the band.” Vendor, amount and date in any order.
  3. 3Tap Done or just stop talking. The receipt comes up for you to check, then save.
Nothing is saved until you check the receipt.
13 · Write it42 s

Three taps for the pad

Triple-tap the page title and write the entry with a finger. Scrawl is fine.

  1. 1Triple-tap Expenses or Income. A lined pad opens with the iOS pen tools.
  2. 2Write it: “Gas 42.10”. Vendor, amount and date, any order. A note is fine too.
  3. 3Tap Read it. The first time, the app explains what is sent to be read and asks you to allow AI data sharing.
  4. 4The receipt comes up with what it read. Check it, save it.
Set up once on your iPhone

Apple Pay, tap-to-enter and the screenshot shortcut

These run in Apple's Shortcuts app, not inside CrehzTracker, so they are built by hand on your own phone. Each takes a couple of minutes. Requires iOS 17 or later.

Tap to pay → an expense, by itself

Pay with Apple Pay and the expense files itself — amount, merchant, category — before you have left the register.

  1. 1Shortcuts → Automation tab → +
  2. 2Choose Wallet (called Transaction before iOS 26).
  3. 3Pick the card(s) you tap with. Turn Run Immediately ON and Notify When Run OFF, then Next.
  4. 4New Blank Automation → Add Action → search CrehzTracker → Log Tap.
  5. 5Amount: tap the field, tap Shortcut Input on the variable bar, then tap the chip it inserts and choose Amount.
  6. 6Merchant: same again, choosing Merchant. Tap ✓ to save.
The one mistake that costs an evening. Inserting Shortcut Input is not enough — you must tap the chip afterwards and pick the property. On its own it resolves to the merchant; do it twice and you get the merchant twice, no amount, and nothing files. A real variable deletes whole on one backspace; pale placeholder text is an empty field.

It should read Log tap of [Amount] at [Merchant]. Then tap to pay something small and open CrehzTracker: the expense should be in your ledger with the merchant tidied and a category chosen.

What a tap becomes

A tap is an ordinary expense straight away — no queue, no review — and you can always open it to change the category.

  1. 1The merchant is tidied the way scanned receipts are: SQ *BLUE BOTTLE #12 NASHVILLE TN → Blue Bottle Nashville.
  2. 2The category comes from your own history with that merchant, or the closest match.
  3. 3See “Couldn't read a tap: …”? It arrived but could not be parsed. Send the quoted text to info@crehztracker.com — it is exactly what is needed to fix it.
  4. 4Nothing at all? Check the automation is saved and enabled with Run Immediately on.
What it does not catch: online and in-app Apple Pay (the trigger is a physical tap), cash or a physical card, refunds, and cards whose issuer never raises the trigger — Capital One is one. Those purchases can be scanned or dictated instead.

Log income from a payment screenshot

A Zelle email, a Cash App or Venmo receipt, a PayPal notice — anything that confirms money moved. One press reads it and opens the income form filled in.

  1. 1Shortcuts → + → Add Action.
  2. 2Search Take Screenshot, add it.
  3. 3Search Log Income from Screenshot, add it. Its input should read Screenshot.
  4. 4Name it Log Income and tap Done. That is the whole thing.
  5. 5Open a payment confirmation so it fills the screen, fire the shortcut, and check the form. Nothing is saved until you tap save.

Check the direction. “Wreh sent you money” is money in for the receiver and money out if you are Wreh. The app is told your name and decides from it; when it cannot tell, it says so instead of guessing.
